Employee wellbeing KPIs: participation and reporting

A rate only becomes meaningful when you know who is counted and over which period. Start with a few clearly defined metrics.

Registration, participation, recurring use and appointment utilization can help manage a program. Define the target group, period, numerator, denominator and data source for each metric. Participation describes use; it does not establish a health benefit or economic effect.

These are editorial working definitions for planning. They do not imply that every metric can automatically be exported from FIT-UP. Clarify available data and permitted reporting before launch. Recurring use requires at least two specified weeks in the period.

Distinguish people, appointments and activities

One person may visit several stations at a health day. That means several appointments but only one person. Multiple activities by the same person do not increase the participant count. Record the counting unit alongside each figure.

Illustrative calculation: 30 unique participants out of 120 invited people produce a participation rate of 25 percent. If those people attend 45 station appointments, the participation rate stays the same. Appointment utilization also requires the number of appointments offered. This example is not a FIT-UP benchmark.

Check comparability before comparing

Averaging departmental rates can mislead when groups differ in size. For a valid overall rate, add the matching numerators and denominators. Do not simply add monthly unique-person counts to create an annual count: the same person may appear in multiple months.

  • Use the same period and definition.
  • Record joiners, leavers and changes to the eligible target group.
  • Document cancellations, missing data and technical changes.
  • Calculate rates using matching total numerators and denominators.
  • Protect small groups from identifiable reporting through combinable filters.

Turn metrics into an organizational task

If participation is below your own target, review invitations, access, timing and capacity. Assign a concrete task and an owner. The figure alone does not explain the reason. Discuss voluntary feedback without personal health information.

  • A missing denominator means “not available”, not zero percent.
  • Give every metric a data source and review date.
  • Justify targets internally rather than inventing general benchmarks.

A general target does not fit every format. Set your own target with context; this guide does not provide unsupported benchmarks.

What do we do when the denominator is missing?

Mark the rate as unavailable. A missing value must not be presented as a genuine zero.

Can I average monthly rates?

Check the definition and reference groups. Use total numerators and denominators for a suitable overall rate; do not count unique people more than once.
