How do I plan a workplace health day?

Start with a specific goal and involve employees. Choose relevant modules and clarify rooms, available time and owners. Plan individual appointments and group activities separately, and explain access and participation to each group. Choose the goal before the stations

Should the day raise awareness of an existing wellbeing program, focus on back health or launch a shared activity? Set one main goal. A long list of stations adds little when the audience and next step remain unclear.

Ask people you rarely reach: production teams, field staff, part-time employees and small sites. Different working hours and access routes belong in preparation. Workplace health should not depend on regularly reading an internal newsletter.

Start with a one-page brief for the organizing team: goal, target groups, site, date, owner, available time and approval responsibility. Discuss it with managers, employee representatives and relevant specialists.

Distinguish appointments, group activities and open stations

Plan each format around its actual process. A personal screening needs an appointment, time for questions and an appropriate room. A workshop has a shared start time and limited group size. An open information station needs no fixed slot but can still become a bottleneck when demand is high.

Avoid bottlenecks in registration

Allow more than measurement time. Arrivals, departures, advice, preparation and changeovers also take time. Deduct shared breaks, setup and pack-down from the appointment window. Plan differently paced stations separately.

Illustrative calculation: three equally paced stations, each with six net hours, 15-minute appointments and five-minute changeovers, allow 54 appointments in total. This does not automatically mean 54 people completing every station. One person visiting several stations uses several appointments.

Plan for cancellations and late arrivals: who can take an empty slot? How will participants find the room? Who decides what to do if a station overruns? A small agreed buffer is more useful than a mathematically full schedule.

Include communication and follow-up

An invitation answers four questions: what is the activity? Who is it for? How do I join? What happens to my information and results? Use specific language and include posters, team discussions or other channels when not everyone has company email.

Agree how the day fits into your wellbeing program. A workshop may lead to a regular activity; a movement session may lead to a voluntary challenge. The FIT-UP App can support access to relevant content and activities. Follow-up decisions still need owners and time in the workplace.
